BRIEF DESCRIPTION OF DUTIES: The Mail and File Clerk is located in the Executive Office, USAID/Pakistan, Islamabad. The primary purpose of the position is to perform centralized mail and file functions for the Mission in Islamabad. Under supervision, the Clerk maintains systems for control and distribution of all unclassified records and correspondence held in the Mission. The Clerk implements procedures for the receipt, control, processing, distribution, and dispatch of unclassified correspondence; provides a variety of correspondence processing and control, mail, pouch, fax, and cable receipt and dispatch; files management; and, reproduction and distribution services for the Mission. The Clerk participates in records maintenance, storage, retrieval and disposal functions for the Mission.

QUALIFICATION REQUIRED:

EDUCATION: Completion of secondary school is required. At least some college level education or technical training in administrative procedures or management is highly desirable.

EXPERIENCE: Two to three years of experience in records and correspondence management or related clerical and/or office functions is required.

LANGUAGE: Level 4 (fluent) English and Urdu, reading, writing and speaking, is required

KNOWLEDGE: The work requires a good working knowledge of regulations on correspondence control and files management, and a good knowledge of mail handling instructions. Must have good general knowledge of the unclassified records maintained by international organization, and of the systems by which these records are kept. Must have a good general knowledge of the organization, functions, personnel, and practices of the activities to which service is provided. Familiarity with local practices, including secretarial and administrative practices, is required. A good working knowledge of GoP organization, and knowledge of basic office procedures, is expected.

ABILITIES & SKILLS: The successful candidate must have good administrative abilities in order to organize and manage communications and records functions with some independence, and to coordinate work with others on the staff; must be able to use existing systems and procedures, and recommend improvements; and after training must be able to explain procedures and requirements for establishment, maintenance, and disposition of decentralized, project and working files.

BRIEF DESCRIPTION OF DUTIES:
The Administrative Assistant works for USAID/Pakistan, Karachi Field Office and supports the work of the entire Field Office and its personnel in a wide range of substantive support activities. In the absence of other administrative personnel, the Assistant may work in any section in the Field Office. Specific duties include but are not limited to: receive, screen and direct phone calls and visitors; arrange appointments, meetings and conferences as instructed; coordinate in-country travel requests for Karachi Field Office staff, and for outside visitors; review incoming correspondence to the Section and refer them to appropriate staff members; prepare requests for supplies, repairs, etc., establish, maintain and organize hard and electronic copies of subject files and records; perform other duties as assigned or required. In addition to administrative duties, the work may include a variety of research, reporting, contact, monitoring, and analytical duties.
QUALIFICATION REQUIRED:
EDUCATION: Completion of High School and at least two years of college or university study is required, with some of the study related to business management subjects. Completion of an undergraduate degree in social science, administration, business studies is highly desirable.
EXPERIENCE: From two to four years of progressively responsible experience in office management or office assistance or related work, work with an international or donor organization, private or host-government entity is required. Experience should have included a variety of information collection and analysis in an office environment.
LANGUAGE: Level IV (fluent) English and Urdu language proficiency, speaking and writing, as well as a fluency in spoken Sindi, is required
KNOWLEDGE: Must have an excellent understanding of general administrative practices, management, filing systems and modes of correspondence. Must have competency in Microsoft Office Suite and associated functionality of calendar scheduling.
ABILITIES&SKILLS: Must be tactful, possess good judgment, be able to work independently, and be able to maintain positive working relationships with superiors, Specialists, and other Karachi Field Office employees and contractors. Must be proficient in word processing programs, and with other office software.
